Greetings Team,
Today, I need your help. It is time for our unit to take the Defense Organizational Climate Survey (DEOCS) also known as the Command Climate Assessment (CCA), which I am required to conduct. It is also important to me that you are given an opportunity to bring up work issues that concern you the most. While the survey is voluntary, it provides you with this opportunity.
The CCA is a resource for you to provide confidential feedback on many of the factors that affect you and our workplace. As you complete the DEOCS, please answer the questions honestly, whether your answer is positive or negative. I only receive information about the unit as a whole. I will not be able to see how you, or anyone else in our unit, answer any specific questions.
This survey will help me understand issues facing our unit and plan actions to ensure we are moving in the right direction. I will update you and the unit on the results of the DEOCS after the survey is complete. This way, we can all learn from this effort.
I have really been enjoying getting to know all of you and look forward to finding out ways to increase our effectiveness. This survey will be open until 06SEP and I look forward to seeing the results.

The anonymity of individuals submitting a survey will always be protected. MEO professionals administering the survey and collecting the data will ensure procedures are in place to protect the anonymity of respondents and the confidentiality of the results. The command climate assessment survey is designed to protect respondent anonymity. Organization results will not be broken out by demographic groups (such as race, sex, or rank) if a subgroup (for example male or female) has fewer than five respondents.
The survey can be completed on any internet connectivity source, i.e. personal/ work computer, tablet, etc.
Who is the target audience and what is the purpose of the message?
The target audience is all the Soldiers in the company, and the purpose is assessing the command climate. While the commander emphasize that he is required to conduct this survey, he notes that its important to him that every Soldier has an opportunity to bring up any concerns they may have.

Three ways that the message uses the six Cs of Communication, are courtesy in the greeting and the preemptive thanks in the Soldier’s participation of the survey. Clarity in the purpose of the message, where the survey is located, and how it benefits the Soldier, team, and Army as a whole. Finally, coherence, the company notes that “This survey will help me understand issues facing our unit and plan actions to ensure we are moving in the right direction.” By doing so, he reiterates the purpose of the survey and how it will benefit the team through actionable reviews.

Two ways that the message demonstrates the “you” approach are through his use of “you are given an opportunity” and the “Thank you in advance”. It allows the reader to see the benefits of being heard while also feeling appreciated for the effort.
What is ONE way the message uses positive emphasis?
One way the message uses positive emphasis is him including “and look forward to finding out ways to increase our effectiveness.” Look forward implies that he is excited about the work he is about to do and increase our effectiveness implies they will be a benefit to the work being done by completing the survey.
